Administrative and Development Manager

The Administrative and Development Manager will provide administrative support for client services and operations, and serve as the administrative hub of development activity for the fundraising team of the organization.  

 

Duties of the Administrative and Development Manager include:

Administrative Responsibilities (50%) 

  • Provide customer service; answer and field inquiry emails/phone calls about programs and events
  • Register participants for programs and process scholarship applications
  • Update registration system and website with new programs
  • Provide administrative support to the engagement team, including communication with participants/clients about program details
  • Update organization-wide shared contacts databases (CRM, email marketing, and registration system)
  • Manage weekly program participant emails
  • Manage distribution of program supplies, including communication with Educators regarding supply need, ordering supplies through outside vendors, and shipping supplies from Headquarters
  • Send Educators program information, including rosters and site information/zoom links
  • Assist with outbound communications, mailings, and merchandise shipments
  • Provide Tech Production support: soundchecks and program support for online workshops and trainings

 

Development responsibilities (40%)

  • Assist with the planning and implementation of the program’s online campaigns, which include online campaign creation, social media strategy and production, CRM tracking
  • Coordinate and support for regular donor events, from annual events for hundreds of people to small salon dinners in private homes
  • Coordinate writing production, including blog posts, grant applications, letters, annual reports, and thank you notes
  • Support the Co-CEO in preparation for fundraising events, including collateral production, donor research, and follow-up communication
  • Create development pipelines and track all activities in Salesforce
  • Generate monthly, annual, and event-related contribution reports from Salesforce
  • Maintain thoughtful communication plan that includes acknowledgements, invitations, site visits and reports
  • Research and preparation of prospect briefings for Board Members and CoCEOs
  • Create, maintain and update collateral and support materials (organizational history, program descriptions, Board lists, budgets) for funding requests and development reports 
  • Support large in-person events, including day of set-up, volunteer management, event breakdown, including annual trip to New York

 

Executive Administrative Assistance: (10%) 

  • Maintain Co-CEO and board calendars 
  • Support communication with board members, donors, and partners 
  • Coordinate Co-CEO travel 
  • Maintain Co-CEO expense reports 
  • Coordinate meetings or meals as needed 
  • Work with Co-CEO to ensure engaging and successful board meetings of relevant board committees, including agenda preparation, dashboard updates, and follow-up tracking
  • Other special projects as need arises 

 

Qualifications

  • Prior experience with customer service and administrative support 
  • organized with an attention to detail;
  • Ability to prioritize tasks, meet tight deadlines, and manage time effectively in a fast-paced environment with competing priorities;
  • Quick to master cloud-based tools (e.g. G-Suite, Doodle, MailChimp, etc.);
  • Prior experience in fund development in non-profit sector;
  • Experience with a CRM platform; Salesforce a plus, other platforms might include Classy.org, SplashThat, OneCause, Canva, etc.;
  • Exceptional verbal and written skills;
  • Exceptional skills with Excel, Word and web savvy;
  • Resourceful and creative; 
  • Comfortable with ambiguity; and
  • A great team player.

   

Position is full-time and based in our Oakland, CA headquarters. Position is hybrid and requires 50% time in-person work with proof of Covid vaccination.

Compensation: starting salary is $70,000-$73,000/annually, depending on experience. 

Benefits include health insurance, optional dental/vision, employer contributed HSA account, unlimited paid time off with supervisor pre-approval with an additional two weeks paid time off in December, 11 holidays per year, separate sick time, and an employer contributed 401(k) plan available after one year of service.
